SIMS - Swinburne Identity Management System
What is SIMS?
SIMS has been developed to improve the way in which staff and student access to IT applications and services is managed. SIMS stores all staff, student, agency and affiliate/other identities within a single directory. This directory acts as a single source for nominated Swinburne applications and services to authenticate against.
What will happen when SIMS goes live?
Existing students and staff (as at 14th February 2008) will need to synchronise their passwords and setup their challenge questions by visiting the SIMS Change Password link within My.Swinburne.
How do I obtain a SIMS username and password?
- Students are automatically assigned a SIMS username and password upon enrolment.
- Payroll staff are automatically assigned a SIMS username and password once they have been entered into the HR Management System and have commenced employment. (New staff members should contact the Service Desk on 9214 5000 to confirm their SIMS username.)
- Agency staff and Affiliate/Other staff are assigned a SIMS username and password upon processing by the ITS Service Desk of your submitted HI Network Account Form
SIMS Usernames and Passwords
Definitions
- Student - All students recorded within ASCOL as having a current enrolment.
- Payroll Staff - All Swinburne staff that are employed directly by the University and recorded within the HR system.
- Agency Staff - All staff employed through a recruitment agency such as Dixon Appointments, HOBAN Recruitment, Mosaic Recruitment, etc.
- Affiliate / Other - All staff who hold a professional affiliation with the University, or Individuals who do not meet the student, payroll staff or agency staff criteria.
What happens if I’m a student and a staff member?
Students and staff are treated as two separate identities hence you will receive two separate SIMS usernames and passwords. Use your SIMS student account to access student applications and services and your SIMS staff account to access staff applications and services.
What happens if I change employment type?
Payroll staff, agency staff and affiliate/other staff are all treated as separate identities within SIMS. If a staff member changes from one employment type to another they will receive a new identity. Note that a new identity receives a new username, password and email address.
When will my SIMS user account expire?
Students - Ninety (90) days from your last enrolled year (eg: March following their last year of enrolment)
Payroll Staff - Midnight on your last day of employment. (Note: 24 month post departure access available to the Employee Web Self Service (EWSS) application.)
Agency Staff and Affiliate / Other - Midnight on your last day of employment.
How often do I have to change my SIMS password?
Student - Students are free to change their password as required.
Payroll Staff, Agency Staff and Affiliate / Other - At least every 90 days. SIMS will notify you when your password requires updating.
Why must I log in to the SIMS Account Management tool when I'm already logged into My.Swinburne?
In order to ensure an unattended computer cannot be used to reset all you passwords, all users must re-validate their identity prior to changing passwords.
Can I manage my SIMS user account myself?
Yes, you can change your SIMS password, reset your SIMS password if forgotten or set up/modify your SIMS challenge questions/answers by visiting My.Swinburne
